Client Services Operations Coordinator

**Who You'll Work With**:

- You'll work in our Jakarta Office as part of client services operations and office initiative management team.- You will be responsible for driving and running key processes in client services operations in Indonesia, and delivering impactful results for the Client Services Teams operating in Indonesia. You will also be providing ad-hoc support to the leadership in delivering strategic office priorities.- You will work directly with senior leaders (e.g. senior manager of initiative management, senior consultants/AP/Partners/Senior Partners) to coordinate and lead activities especially in navigating day to day ambiguous problems in client services operations and office initiative management, putting forth appropriate, innovative resolutions.**What You'll Do**:

- You will collaborate with proposal management team and coordinate the Letter of Proposal preparation with the relevant teams to ensure smooth proposal process: coordinate with the Client Service Teams on the technical document, work with Legal to prepare legal/admin letters, liaise with finance team for financial documents, liaise with executive assistants to align scheduling, and with office services to organize printing/production of documents.- You will coordinate meetings/scheduling with clients and internal teams related to client inquiries ensuring the relevant people are attending critical interactions with the clients, including organizing documents translation, language assistant support, etc.- You will collaborate with proposal management team to create a check list and perform process check of the documents including deliverables by each of the respective teams.- You will align with the proposal management team to support the Client Service Team on the technical content by providing relevant information e.g. CVs, cases, office qualification and other reference documents as part of the technical proposal development.- You will coordinate with the relevant executive/team assistant to organize proposal delivery; book courier/car, prepare receipts, liaise with client ensuring receipt and on time delivery.- You will coordinate with the proposal management team to maintain/improve client database management by regularly updating and reviewing the client data (client development pipeline, proposal documents, client templates, firm templates, etc.) and organize the data by client name/sector, to establish best practice in client data management.- You will work closely with the senior manager/partners on specific area of support for the implementation of office strategic priorities.**Qualifications**:

- Bachelor's degree (law/political science/comms/international relations)
- 4+ years' work experience in admin operations, business development or project management role
- In-depth understanding of local client context; prior experience/familiarity of SOE/Gov't procurement process would be an advantage
- Detail oriented and enjoy working on process management
- Ability to work under pressure; demonstrate flexibility in working beyond office hours and meeting deadlines
- A team player and ability in multi-tasking
- Fast learner and quick in digesting/understanding different topics within client context
