**Job Title: Administration Staff**
Education Aid International (EAI) is an Indonesian non-profit organization focused on providing educational assistance with a zero-interest loan system and working with local partners. The Administration Staff will be responsible for supporting the day-to-day administrative functions of our non-profit foundation. Reporting directly to our CEO, the Administration Staff will play a crucial role in ensuring the smooth and efficient operation of the organization by handling various administrative tasks, maintaining records, and providing support to the team.
**Key Responsibilities**:
- **General Administrative Support**:
- Perform general administrative duties such as answering phones, managing correspondence, scheduling meetings, and maintaining office supplies.
- **Document Management**:
- Maintain and organize both physical and electronic files and records, ensuring they are up-to-date and easily accessible.
- Assist in the preparation, formatting, and editing of documents, reports, presentations, and other materials.
- **Data Entry and Management**:
- Input, update, and maintain accurate data in the organization's databases and information systems.
- Generate reports and retrieve data as needed to support program activities and decision-making.
- **Support for Meetings and Events**:
- Assist in the planning, coordination, and execution of meetings, workshops, and events, including logistics, invitations, and materials preparation.
- Take and distribute meeting minutes, ensuring accurate documentation of discussions and decisions.
- **Financial and Accounting Support**:
- Assist the finance consultant with basic accounting tasks such as processing invoices, tracking expenses, and managing petty cash.
- Help prepare financial documents and reports as required.
- **Communication and Coordination**:
- Serve as a point of contact for internal and external inquiries, providing information and assistance as needed.
- Coordinate with team members and partners to ensure effective communication and collaboration.
- **Office Maintenance**:
- Ensure the office environment is clean, organized, and well-maintained.
- Manage relationships with office suppliers and service providers.
**Qualifications**:
- Bachelor's or Diploma degree; degree in administration or a related field is preferred.
- Minimum of 1-2 years of experience in an administrative or office support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment and procedures.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy in data entry and document management.
- Good communication and interpersonal skills, with the ability to work effectively in a team environment.
- Basic knowledge of accounting and financial principles is a plus.
