Today Thales Indonesia employs 25 people and has successfully provided numerous solutions to Indonesia in both civil and defense sectors. The Group's main business in Indonesia has historically been the defense domain, where Thales is a long-term provider of defense systems for the Indonesian Army and Navy. In these areas Thales has demonstrated a strong commitment to working collaboratively with the Indonesian government and partners with local stakeholders. In recent years there has been an increased interest in the Thales civil solutions especially in the field of transportation and air traffic control. With the growing attention to infrastructure development by the Indonesian government, Thales will have opportunities in the transportation and security domain.
**Responsibilities**:
- Support company operations by maintaining office systems and supervising staff.
- Provide efficient support to the company management team.
- Organize office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
- Organize procurement of office supply.
- Management of all company drivers, receptionist and office support staff (~8 staff).
- Manage relationship with landlords, building management and all other service providers.
- Management and filing of legal documents related to the company (deed, business license, etc).
- Define, update and implement office policies by establishing standards and procedures.
- Management of expatriates' property lease, company car agreement, and other benefits.
- Organize company events (outings, celebrations, corporate events).
- Organize necessary renovation to cope with increasing headcount.
- Be the primary interface between Thales and the outsourcing companies.
- Conducting progress meetings, ad-hoc meetings and contract performance reviews to report on project status to Thales management.
- Monitoring, controlling and reporting the performance of each project.
**Requirement**:
- Minimum 5 years' experience in similar role
- Proficient in Outlook, MS Office (Excel, Word, PowerPoint)
- Strong communications skills (verbal and written). Able to speak fluent English, French is a plus.
- Has experience working in a multinational company, with multiple offices abroad
- Strong organization and prioritizing skills
- Able to work in a dynamic environment and able to manage and navigate in ambiguous situations
- Proactively keeps managers informed about progress and problems
- Respects the confidentiality of information or concerns shared by others
- Has a sense of ownership/takes responsibility and follows through on tasks to ensure completion
