**What will you do**:
**Responsibility**:
- Report to Head of Construction as line manager;
- Report to Construction Manager on project level;
- Preparing and updating site inventories of office equipment, furniture and all items not considered consumables;
- Preparing and maintaining Construction Management personnel records, entry permits, etc.;
- Receiving, recording, filing and distributing all drawings, specifications, requisitions for purchase and vendor documents;
- Maintaining files with latest issued revisions and filing superseded revisions of each document separately after having been marked "Void" (plus initials and date of marking void). Organization of project file on the construction site is the same as the project file at the office;
- Control Construction Contractor (CC) compile and weekly submit - for RHDHV's review and approval - the applicable forms showing the equipment used, the number of personnel on site and the hours worked;
- Control all field correspondence (letters, faxes, transmittals, etc.) shall be signed by the CM or by the per-pro signatories duly authorized by the CM. Such written authorization shall be distributed to all concerned;
- Control all copies of correspondence between the Client, RHDHV and the Construction Contractor and vice versa are sent to project administration at the home office;
- Maintain site document control register and status of each Site instruction, RFI log, VO log and transmittal log from each contractor and from RHDHV to each contractor;
- Maintain a file with all meeting minutes and ensure that the meeting minutes are distributed to participants and recipients in a timely manner;
- Listing, distributing and filing Change Order;
- Listing, distributing and filing engineering queries;
- Maintaining Project documentation hard copy and soft copy;
- Coordinate/monitoring incoming and outgoing document distribution;
- Assist CM monitoring Minutes of Meeting;
- Assist CM/PM monitoring letter;
- Assist CM/PM in documenting/monitoring RHDHV's representative overtime hours.
- Responsible for petty cash (if any);
- Documenting pictures and video of construction progress;
- Responsible as final document coordinator;
- Conduct weekly meeting with contractor's document controller to monitor the document status;
- Compile handover dossier document.

**Requirement**:
- Minimum High School / Bachelor degree or relevant field
- 5 years proven work experience as a Document Controller or similar role
- Previous experience in document control or records management.
- Hands-on experience in document management software and tools
- Knowledge of Electronic Document Management Systems (EDMS)
- Strong organizational and data management skills.
- Attention to detail and accuracy in document tracking.
- Effective communication and documentation abilities.
- Knowledge of relevant regulations and compliance requirements.
- Good communications skills oral and written in English.
