Based in Jakarta, Indonesia, the Finance and Administration Assistant will support GGGI Indonesia Country Office on finance and administration activities to respond to requirements, rules, and systems established by GGGI and the donors. S/he will play a critical role in managing bookkeeping tasks and providing support on financial functions.
The position assists the implementation of operations enabling services pertaining to financial and administrative management of the GGGI Indonesia Program to ensure effective delivery and success in-country operations. S/he will work within the premises of the GGGI Indonesia Country Office, and report to the Sr. Finance Associate, the Finance & Administration Assistant will be responsible for executing and documenting various financial transactions, in particular for Country portfolio below 5 million. Additionally, ensuring the proper coordination of financial coding for these transactions will be a key part of their daily routine.
**PURPOSE**:
This position carries out financial and administrative work to support and ensure that financial management of the Indonesia Country program is carried out effectively, process accounting transactions according to the general principles of accounting and GGGI accounting manual and provide day to day administration support for the successful implementation of the projects as required.
**ENGAGEMENT**:
- Working closely with the Sr. Finance Associate, ensuring all transactions are record properly and comply with GGGI regulations.
- Manage and maintain an efficient and complete filing system, database, and documentation related to invoices, activities, and events, as well as preparation and filing of minutes of meetings.
- Work as part of GGGI's operations team and ensure full compliance with GGGI's regulations, rules, and procedures.
- Support the program implementation in all aspects related to financial monitoring, budgeting, and administration.
- Support hiring processes of staff and consultants in compliance with GGGI's Rules and Regulations, and internal systems set up to conduct the process.
**DELIVERY**:
- Ensure that all transaction is conducted, processed, and recorded as stipulated by the systems and procedures.
- Keep accurate and up to date records on all transactions including bank account and daily petty cash count.
- Initiating, recording, and confirming internal and external payments via E-banking.
- Prepare replenishment requests for approval.
- Prepare petty cash reconciliation.
- Prepare monthly expense report.
- Take responsibility for day-to-day administration activities as needed. Perform other administrative support as required.
**REQUIREMENTS**:
**QUALIFICATIONS**:
- A bachelor's degree in finance or accounting, business administration or other related fields.
- At least 1 year of relevant working experience is preferred.
- Have a good understanding of basic accounting principles.
- Experience working with government agencies in Indonesia is highly desirable.
- Experience in International Organizations will be seen as an asset.
- Experience in using ERP systems, supporting projects, and handling administrative tasks will add value to the role.
- Experience in goods/services procurement process.
- Fluency in both Indonesian and English is essential.
