Overall Responsibilities
The Senior Project Associate will provide effective and efficient project operational and administrative support for Senior management team (SMT) and the office of the Senior Management Team. The Senior Project Associate will work under supervision of the Operations Manager and work closely with the Receptionist and Logistic Associate to ensure a smooth flow of Office and Operations. Illustrative tasks include day-to-day assistance to SMT, regular communication with managers and various teams including corporate teams and carrying out formal correspondence and liaising on protocol and administrative matters with government counterparts and external agencies with direction from SMT and Operations Manager with minimum supervision.
This role serves two main responsibilities ie.
- Provide project management support to Senior Management Team (SMT), with specific responsibilities including serving as note taker for management meetings, handle formal correspondence with government counterparts, USAID, and other external parties, and translate documents as necessary.
- Administrative and Office Management Support under direction of Operations Manager, with specific responsibilities including serving as point of contact for all travel and logistic needs for the Management & Operation Teams, carry out SMT and office management filling (hardcopy and softcopy), assist Management Team in National Office on administrative matters, as well as helping keeping track of pending invoices from any event under Operation Team.
QUALIFICATIONS
**Education**:
- Bachelor's degree in business administration, management, or related field from an accredited academic institution.
**Experience**:
- 5-7 years prior experience working in a professional business environment with, and general office assistance experience.
- Preferably have working in USAID or other international development project.
Competencies:
- Business English fluency, both verbal and written skills.
- Ability to manage workload within general schedule of work, instructions and standard practices.
- Easily adapt to and have the ability to work within applicable rules, regulations, policies, and procedures.
- Proactive, good interpersonal / communication skills, and empathy.
- Attention to detail.
- Demonstrated competence to assess priorities and manage a variety of activities.
- A high degree of sense of responsibility in dealing with confidential matters.
Physical demands:
- Some domestic travel as required.
- Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard.
- Keyboard use, Pulling drawers.
