The Tender Coordinator is a Commercial Center position responsible for ensuring high quality preparation of tenders, proposal and qualifications that communicate the value of our service offerings. The Tender Coordinator ensures standard Tender templates and formats are adhered to, and keeps the tender team informed on the schedule and internal deadlines of the submission.
**Roles and Responsibilities**
- Ensures all tender submission requirements are captured.
- Prepares and ensures that all requirements are completed by the agreed deadlines.
- Adheres to deadlines and follows up with tender stakeholders to meet them, including timely escalation to the Tender Lead when necessary.
- Ensures that submission content is coherent (in terms of grammar, structure of ITT and references), and is fit for purpose.
- At all times, fully complies and follows Commercial Center tender requirements including Tender Delivery Checklist and processes pertaining to Pre-Qualification, Tender and Clarifications submission using XaitPorter templates.
- Maximize the use of, and contribution to, tender library content in the tender preparation process.
- Plans submission protocol in coordination with the GeoUnit for e-commerce submissions (Ariba, etc.) and remote printing when required.
- Assists in all proposal close-out procedures including submission archiving.
- Ensures C4C sales stage is updated to reflect status of the bid.
- Active participation in continuous improvement of tender process to deliver optimum efficiency.
- Shares best practices, participates in Quality Improvement task force, completes required training.
**Qualifications and Experience**:
- Open for any major from reputable university.
- 0-3 years of experience in the same field.
- Excellent verbal and written communication skills.
- Ability to manage several projects simultaneously while working under pressure to meet deadlines.
- Capable of working in groups as well as independently.
- Professional management of employee relationships at all levels.
- Team player with an enthusiastic approach to fresh challenges.
